Open Position: Warehouse Associate

Topland Logistics Intermodal Metals transport business unit, is the leading intermodal distribution company in the metals industry. Through our strategic network of transload facilities, we design customized metals distribution programs throughout the universe.

Summary / Primary Role:

The Shipping Clerk is responsible for performing all tasks and adhering to policies and procedures outlined by the company to ensure customer satisfaction in the shipping/receiving of packages.

The Shipping Clerk will offer support to the Operations team by striving to meet and exceed the expectations on safety and prompt delivery of the customer’s cargo. This position includes daily tasks with emphasis on accuracy, effective communication, and quality control with an ultimate objective of excellent customer service.

Essential Functions:
  • Follow safety guidelines established for the office and adhere to OSHA regulations.
  • Create all documents necessary for inbound and outbound customer inventory. Ensure that all paperwork is completed accurately and correctly.
  • Distribute daily warehouse reports of material to ship.
  • Document the shipping and receiving window and maintain appointment log.
  • Schedule all inbound and outbound truck and rail activities within the system(s).
  • Confirm appointments as needed.
  • Dispatch loads for pick-up and delivery based on appointment times, operating hours, geographic locations and special instructions.
  • Direct outside drivers to proper loading or unloading areas and inform drivers of proper warehouse procedures.
  • Receive product into inventory; monitor inventory, report inventory levels to the Terminal Manager.
  • Ensure all documentation is accurate and completed prior to releasing product to be shipped.
  • Assess customer needs, vendor and driver needs and answer questions, field all incoming calls and address complaints.
  • Verify and confirm pick up and/or delivery of customer product and update statuses in all computer system(s).
  • Set up container bookings, enter and receive empty containers.
  • Coordinate and communicate with warehouse employees, other departments and divisions.
  • Report incidents, accidents, service failures, claims.
  • Participate in cross training and continuing education functions as needed to stay informed with company and industry trends, or as requested by management.
  • Deliver all types of communication, including phone and email, in a professional, pleasant, and detailed manner.
  • Booking loads for delivery to CMI, import loadings and unload appointments for international shipments.
  • Track/trace the progress of each domestic and international shipment assigned from the point of pickup to final delivery.
  • Ensure daily communications with carrier, shipper/consignee via computers, emails, phones and fax.
  • Perform clerical services for the International Group that may be administrative in nature and according to procedural guidelines.
  • Cross train with all account managers.

Job Specifications:
  • High School Diploma or equivalent.
  • Work history in similar role and environment is preferred
  • Transportation or metals industry exposure is preferred
  • Strong Microsoft Office and general computer skills with the ability to type 50 words per minute
  • General trucking, intermodal, import and export experience is preferred
Physical Requirements:

Employee must lift up to 30 lbs., sit for extended periods of time, stand, walk, reach above head for files, grasp, handle, and perform finger operations. Must operate normal office equipment such as phone, computer, fax machine, and copy machine.

Work Environment:

This position is in an indoor office environment with some exposure to airborne particles and odors/fumes. This role routinely uses standard office equipment such as computers, phones, photocopiers, fax machines, and filing cabinets.While performing the duties of this job, the employee is regularly required to effectively communicate with others via email and phone. The employee must frequently use hands and fingers to use computers, calculators, write letters, sign documents and pick up files in the course of work. The employee is frequently required to sit, stand, walk and lift for long periods of time throughout the day. Must have ability for sight, depth and peripheral vision, color distinction, oral and verbal communication., have finger dexterity, hand and arm mobility, be able to drive, sit, stand, walk bend, crouch, kneel, climb, balance, push and pull, and lift up to 25 lbs. on occasion.
